SummaryThe responsibilities of the Compliance Assistant include reporting to stakeholders, management of lease-up tasks, performing detailed reviews of applicant/tenant files, acquiring employment verifications, record management, file organization and submittal of records to investors, assistance with corrective action to resolve noncompliance, internal reporting, completion of administrative tasks in software systems (Yardi, Smartsheet, etc.), collaboration with various departments, and other duties as assigned.Essential Duties and Responsibilities include the following. Other duties may be assigned. - Completes, coordinates, and distributes reporting requirements to regulatory agencies, lenders, and investors; reports typically consist of monthly, quarterly, and annual reporting requirements. Reports generally include occupancy, marketing, financial reports, and certifications of compliance. - Utilize Yardi to extract occupancy and financial reporting items. - Works with various departments and Legal to finalize certifications of compliance. - Data entry and maintenance for reporting tasks utilizing the Yardi and Smartsheet system. Maintenance includes tracking, status changes, evidence of submittal, corrective action items, automated reporting setup, clean-up, etc. - Performs comprehensive reviews of files with reconciliation of investor requirements and checklists. - Submits files to investors as scheduled and tracks the progress of clearance status. - Resolves deficiencies directly or in collaboration with Property Management team members. - Utilize the Work Number system to acquire employment verifications. - Maintains effective organization of records utilizing Smartsheet, SharePoint, or third-party systems as assigned. - Completes data entry and administrative tasks in Yardi, including interim recertification records, utility allowance changes, and other related tasks. - Internal reporting to the Compliance Manager and the Compliance Director, including the status of reporting tasks, investor file submittals, and other assignments. - Meets all deadlines and completes work within the required timeframe. - Maintains a high level of accuracy in the ability to identify issues and resolution of noncompliance. - Participate in training, utilize resources, and apply training information to daily work. - Effective organization and time-management with prioritization of tasks. - Maintain effective and prompt communication in both written and verbal form.Other responsibilitiesOther responsibilities of the incumbent employee in this position include: - Research or extensive reading as needed - Analysis of regulatory literature or other information - Task management and electronic record retention - Use various computer software and systems to complete and monitor work, including Yardi, Yardi/E-learning, Smartsheet, Word, Excel, Adobe, PowerPoint, etc. - Travel to various locations as assigned for external training.TRAVEL: Travel is required for external training or special projects, including extended stay to travel location (generally 1-4 days in most cases). Travel may include long-distance and out-of-state locations. A valid driver's license is required throughout employment.Supervisory ResponsibilitiesMonitors compliance with investor reviews and regulatory commitments for reporting. Collaborates with various department members to complete tasks, providing guidance and directives as needed; monitors the status and proper completion.Education and/or Experience - A minimum of two years of direct experience in analysis/coding (data or regulatory), accounting, affordable housing, compliance management, or equivalent combination of education and relatable experience. - Moderate to advance knowledge in Microsoft Word and Excel is required. - Adequate typing ability with accuracy and speed is required with a minimum of 50 words per minute. - Bachelor's degree or other comparable and adequate degree preferred. - Multi-state program management and knowledge of affordable housing programs are also preferred. - Knowledge of Smartsheet and Yardi program preferred.Job Types: Full-time, TemporaryPay: $18.00 - $20.00 per hourPhysical Setting:
