Job Description:

The Operations Coordinator/Office Manager is responsible for overseeing the daily operations of a treatment center providing administrative support for employee/client relations, vendor relations, billing, payroll, and general reporting. The Operations Coordinator acts as an office manager with the responsibility for the hiring and management of their local administrative staff and will assist with clinical onboarding and offboarding. An OperationsCoordinator is a pivotal person who works closely with the Treatment Center Director to ensure that clinicians are able to function fully in their roles. They include but are not limited to: Implement and represent company policies enthusiastically by maintaining a positive atmosphere in which company values are upheld to the highest degree (teamwork, positivity, perseverance) Track data and prepare management reports (including but not limited to the potential client list, contract fulfillment, billable percentages, timesheets, turnover, and P&L) Work closely with the scheduling department to ensure proper scheduling of client hours; minimize staff overtime and meal premiums Prepare and maintain employee and client rosters and files Act as a liaison between the treatment center and the administrative departments Assist with payroll, billing, and human resources functions Implement procedures to improve efficiency and save costs (i.e. minimize session cancellations, and minimize staff turnover). Manage office supplies budget and purchase orders of the treatment center while tracking inventory and purchasing supplies Responsible for facility maintenance, safety audits, cleanliness/organization, and overall aesthetic appeal of the treatment center Communicate effectively with vendors and property manager This position is a full-time salary, non-exempt position with full medical, dental, and vision benefits. Operations Coordinators Skills and Qualifications Office managers usually need the following skills and qualifications to succeed: A minimum of 2 years experience in a supervisory role; prior experience working in an office environment as an administrative or office assistant High school diploma or GED; Bachelor's degree in business, accounting, finance, administration, or management is preferred Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks including phone and email etiquette. Organization and the ability to multitask to complete a wide variety of tasks Flexibility to help adjust to new tasks should the office needs change Strong interpersonal skills to interact positively with all employees Leadership ability to manage challenges and oversee employees Attention to detail to ensure tasks are completed thoroughly and correctly Ability to execute active listening and problem-solving skills to provide exceptional customer service Ability to work in a loud environment around children Ability to work Monday-Friday 7:30 AM - 5:00 PM; no remote work Excellent computer skills including Excel, Word, and Outlook, and strong knowledge of all Microsoft Office programs. The ability to work within practice management software and HRIS.
